Publication and distribution arrangements

The Gazette is produced by the Internal Communications Team, Public Affairs Directorate, typeset and printed by Oxuniprint, OUP, and distributed by courier around the collegiate University. For details of the subscription options open to you, please see the relevant section below.

COVID-19-related suspension of print publication

We are unable to publish the Gazette in print for the foreseeable future, as a result of COVID-19-related working restrictions. We will continue to publish online editions of the Gazette and send emails to our online subscribers.

We regret that we are also unable to accept new print subscriptions at the moment, as we are not sure when we will be able to fulfil such orders. Only email subscriptions are now available.

Paid subscriptions

2019/20

If you have paid for a print subscription for the 2019/20 academic year, please contact us at gazette@admin.ox.ac.uk to discuss your options.

2020/21

We are offering digital subscriptions for the 2020/21 academic year, with a view to potentially offering print subscriptions later in the year. Please see 'Paid subscriptions' below.

A self-service database is available at www.staffsubs.ox.ac.uk for current members of staff to record their preferences as to which of the following publications they receive:

  • Gazette (the University of Oxford's journal of record)
  • Oxford Magazine (an unofficial publication and forum for free expression of opinion within the University of Oxford).

Any member of staff can now receive email notifications of new online PDF issues of any or all of the above publications.

Please note that print publication is currently suspended due to office closures caused by COVID-19.

Staff can also opt for email alerts when new issues of OUP's Annual Report (the report of the Delegates of the University Press) are available online; please note that this is no longer issued in print.

Staff can set their own preferences, and change them at any time, by visiting www.staffsubs.ox.ac.uk

 

Retired members of Congregation

If you are a retired member of Congregation, you can receive email notifications of new online PDF issues of the Gazette, Oxford Magazine and OUP's Annual Report (the report of the Delegates of the University Press)

Other retired members of staff

Retired members of staff who are not also members of Congregation can also receive email notifications of new online PDF issues of the Gazette, Oxford Magazine and OUP's Annual Report (the report of the Delegates of the University Press

Please note that:

  • print publication is currently suspended due to office closures caused by COVID-19
  • access to the online Oxford Magazine and the full PDF of the Gazette online is restricted to current and retired members of staff only
  • OUP's Annual Report is no longer published in print.

To use the University's self-service database and choose your preferred publications and delivery options, retired members of staff first need to email gazette@admin.ox.ac.uk to have their account set up; after this, you can change your preferences at any time by visiting www.staffsubs.ox.ac.uk as long as you have a single sign-on account.

 

Undergraduate and postgraduate students of the University can opt to receive email alerts about new online PDF issues of the following publications:

Paid subscriptions

Print publication is currently suspended due to COVID-19-related restrictions. We are not accepting new paid subscriptions at the moment as we are not sure when we will be able to fulfil them.

Paid digital subscriptions

Taking out a paid subscription to the Gazette

The cost of a digital subscription to the Gazette for the 2020/21 academic year will be £40. A PDF will be emailed to you each week.

Subscription to the Gazette includes the Oxford Magazine (12 issues per year: see below concerning separate subscription to the Magazine).

How to pay

Payment can only be made via our Gazette subscriptions online shop, where you can pay by debit or credit card.

We can no longer accept payment made by any other means.

Deadline for subscription payments

To ensure that your subscription is active in time for you to receive all copies of the Gazette and Oxford Magazine for 2019/20, we must receive your payment by 17 September.

Period of subscriptions

Subscriptions run for the whole academic year (September to July). If you subscribe at any point after the start of the academic year, we will send you back issues of PDFs issued to date and your subscription will run until July of the year in which you subscribe.

If you wish to discuss the possibility of subscribing for a partial year, please contact us by email at gazette@admin.ox.ac.uk.

Oxford Magazine

Digital subscriptions to the Oxford Magazine only are also available and the charge for 2020/21 will be £17. A PDF will be emailed to you 4 times per term.

How to pay

Payment can only be made via our Oxford Magazine subscriptions online shop, where you can pay by debit or credit card.

We can no longer accept payment made by any other means.

Deadline for subscription payments

To ensure that your subscription is active in time for you to receive all copies of the Oxford Magazine for 2020/21, we must receive your payment by 17 September.

Period of subscriptions

Subscriptions run for the whole academic year (0th week in Michaelmas term to 8th week in Trinity term). If you subscribe at any point after the start of the academic year, we will send you back issues to date and your subscription will run until the end of Trinity term in the year in which you subscribe.

Subscribing to email mailing lists

We maintain mailing lists to alert subscribers to new online PDF issues of the Gazette. Anyone is welcome to subscribe to these mailing lists, but please note that sections of the Gazette which relate to current students can only be viewed by current members of the University for data protection reasons.

New for 2020/21: précis

We now provide a précis of Gazette content for all readers, which is intended to save you the trouble of clicking through to the PDF in the majority of circumstances. The précis is optimised for reading on smaller screens, as we realise a lot of our readers now use their phones to read the Gazette

Any email subscribers will automatically receive a link to the weekly precis, and it is available on the Current issue and This year's issues pages of this website.

Setting up email alerts

Send an empty email message to gazettelist-subscribe@maillist.ox.ac.uk.

After subscribing you will be sent a notification email which asks you to reply, to confirm that you intended to subscribe. Until you have replied to this email you will not be added to the mailing list.

To remove your address from the list

Send an empty email message to gazettelist-unsubscribe@maillist.ox.ac.uk.

If you want to change the email address used for your subscription, please unsubscribe with your old address and resubscribe with the new one.

In case of difficulty, please email gazette@admin.ox.ac.uk.

  • Current and retired members of Oxford University staff can:
    • receive email notifications of the Gazette and the Oxford Magazine
    • receive email alerts when OUP's Annual Report is published each July
  • Other current members of the University of Oxford (eg students) can read the Gazette and OUP's Annual Report online
  • Anyone who is not a current member of the University (eg alumni, former members of staff other than retired members, or anyone with no connection to the University of Oxford) can read OUP's Annual Report online, plus most of the Gazette (certain sections are unavailable publicly for data protection reasons).

You need to sign into the webform at www.staffsubs.ox.ac.uk using your Oxford username (single sign-on account), so you can't access the webform on someone else's behalf.

 

Yes, you can change your mind at any time and as many times as you like.

 

The webform itself is at www.staffsubs.ox.ac.uk. If you are having any difficulty filling it in, we have provided a walkthrough to help:

 

If you want to change your email address, you will need to log into the webform at www.staffsubs.ox.ac.uk and update it for each publication you subscribe to. We don't automatically update email addresses when people move, as they might have set their own preferred email address already and we don't want to overwrite that.

Your account might be deactivated if you move jobs within or between University departments or colleges; if so, you will receive an error message when you log into the webform to change your location. In this case, please follow the onscreen instructions to email gazette@admin.ox.ac.uk, and we will reactivate your account and change your location on your behalf.

 

If you retire from the University, your subscriptions will be automatically cancelled. If you wish to continue receiving publications, you will need to email gazette@admin.ox.ac.uk and ask us to reinstate your subscriptions.

If you retire from a college, we don't have access to leaver information so your subscriptions will continue until/unless you or someone else asks us to cancel them.

 

  • University staff: your subscriptions will be automatically cancelled from the date you leave, based on records from Personnel Services.
  • College staff: we don't have access to leaver information for colleges, so it would be helpful if you cancel your subscription when you are leaving.

 

Yes, you can. Just email gazette@admin.ox.ac.uk with the subject line 'Subscription suspension' and details of when you're away and what you want to do about your publications, and we can temporarily stop your emails and restart them when you return.

If you just want to change from your work email address to a personal email address, you can set this up yourself at www.staffsubs.ox.ac.uk.

You can read all of the publications online from anywhere with internet access, although please note that some parts of the Gazette and all of the Oxford Magazine are restricted to current and retired members of University staff only.

 

If you'd like to see a copy of the Gazette and the Oxford Magazine, you can email gazette@admin.ox.ac.uk and we will email you:

  • a sample PDF copy of each of the publications
  • a sample of the email notifications for the Gazette, including links to the online editions.

 

If you are a retired member of Congregation, you can receive email notifications about new online issues of the Gazette, the Oxford Magazine and OUP's Annual Report.

If you are a retired member of staff who was not a member of Congregation, you can also receive email notifications about new online issues of the Gazette, the Oxford Magazine and OUP's Annual Report.

If you have previously subscribed to any publications and have now retired from the University, your subscriptions will be automatically cancelled. If you wish to continue receiving your subscriptions after retirement, please email gazette@admin.ox.ac.uk and ask us to reinstate your subscription.

OUP's Annual Report to the Delegates is no longer issued in print.

However, anyone can read OUP's Annual Report online here, and sign up for email alerts of new issues. Members of staff can sign up by visiting www.staffsubs.ox.ac.uk; everyone else needs to email gazette@admin.ox.ac.uk with the subject 'OUP Annual Report subscription'.
